Shipping information is the most important information on your emailpiece. Please use the following formats for your shipping addresses: Shipping address: Automatic post office systems scan postal items for postal adresses from bottom to top and search for cities, countries and postal codes. Machinery will then search for a shipping location.
In case the machine cannot find either line, your emailpiece may be slowed down or misdirected. All information below the shipping adress ( a logotype, tagline or line of attention) can be confusing the machine and could lead your post incorrectly. Place the postal adress and the shipping costs always on the same side of your post piece.
In the case of a cover note, the adress should be placed at the same time as the longest page. Print using dark color pen on bright or dark color paper. There is no inverted print mode (white print on dark background). When your home page is displayed in a screen, make sure there is at least 1/8 inch of space around the home page. Occasionally parts of the postal addresses move behind the windows and the post office machinery cannot see them.
When using a label, be careful not to truncate important information. Post al mail processors have difficulty to read information that is curved or skewed. Never place the line of your eye under the town and state or in the lower part of your mail item. When you cannot insert the suites or apartments number into the same line as the shipping location, place it on the line above the shipping location, NOT on the line below.
Failure to provide a reference work or a poor one can hinder the delivery of your email properly. You can use the free postal search and the postal search PLZ+4 on the Postal Explorer website (left frame) to find the right postal zip numbers and PLZ+4 numbers for your adresses. Nearly 25% of all postal items have something incorrect with the postal adress - for example a flat number that is not there or an incorrect postcode.
Is it possible to deliver some of these mail pieces despite the wrong adress? If a first class envelope is quadratic, fixed or corresponds to one or more of the non-editable features, a non-editable supplement is levied. It is sometimes not important that your emailpiece reach a certain client, but only that it reach an adress.
A possibility is to use a common name such as "postal customer" or "inmate" or "resident" instead of a name and full adress. Unusual typefaces, such as those used for weddings, do not look good on postal systems. Unusual scripts look great on your envelopes, but can also slower your email.
When you cannot see the adress, automatic postal systems cannot see the adress. A few grades of papers disturb the machinery that reads adresses. Papers on the side of the page should be either bright or not. In addition, the cover should not be too gloss - do not use glossed, laminated papers.
